Now you can use the Web to search our cataloging database by title and place orders!
If you currently browse the Internet with such products as Netscape Navigator or Internet Explorer, we have a new product you'll want to know about: MarciveWeb SELECT.
With MarciveWeb SELECT you can search our cataloging database by title and select the record you want. If the title you are searching is very common, you may want to add author, publisher/distributor, and/or copyright date to refine your search.
Access is also available by LCCN, ISBN, and other standard numbers.
Records can be modified before ordering. That means you can modify the regular edition record to fit the large print book you are cataloging. Delete inappropriate notes from a serial record. Upgrade a CIP record.
If you are already a MARCIVE customer, you know that your profile can handle a lot of customization. Perhaps you are already set up to have "--Juvenile [genre]" deleted from all subject headings. Or you have us replace LC subject headings with Sears. Your profile dictates which call number is selected and a great deal more. All of those automatic modifications will still take place, even without modifying the record you see on the screen.
If you don't find any record that you can use as a basis for a new record, you can create a record from scratch. The system requires that you identify the type of material you are cataloging (for example, videocassette). Then you fill in the labeled boxes to build a new MARC record. The interface is similar to the Cataloging Input System (CIS) that many customers currently use.
MarciveWeb SELECT is designed to completely replace the Cataloging Input System. It can do everything CIS can do and much, much more. However, since not all libraries have reliable access to the Internet (required by MarciveWeb SELECT), we will continue to offer and support CIS.

Although this is listed in the program as a users meeting, prospective customers are welcome and encouraged to attend.
All law librarians are invited to stop by booth #1202 at the American Associa-tion of Law Librarians conference in Baltimore July 20-25. We will show you how you can use the Internet to find just the right bib record when available and create confidential records that will not be added to the visible database.
We will also be demonstrating MarciveWeb DOCS.--JM

For the last year, we have been offering libraries a way to order cataloging by title. You could fill out our Title Search Order Form, accompany it by a Title Transmittal Form, and send it in. The surcharge is $0.25 for us to work from our form, or $0.40 if you send in photocopies of title pages and versos.
Now, with MarciveWeb SELECT (see lead story), you can do it yourself. The advantages include:
Saving money. There is no charge for you to search the MarciveWeb SELECT (MWS) database.
No forms. Instead of filling out forms or photocopying title pages, you can search directly.
Faster turnaround. With MWS, titles you search & order on one day are processed and ready the next. Title Searching By MARCIVE (TSBM) often takes a couple of weeks.
Accuracy. If there are several records from which to choose, you can see them for yourself and select the one which most accurately matches the book you have in hand.
Local data. If you have 10 barcode numbers for a particular title, you can enter them directly into MWS. (Detailed local data is not available with TSBM.)
Modifications. With MWS, you can select a record and change it to fit the book in hand. Change a 16th edition to the 17th. Add pagination to a CIP record. Delete unnecessary notes from a serial record. There is no extra charge for any modifications. (Modifications are not available through TSBM.)
Instant decision-making. You can see if cataloging exists immediately, and decide to catalog it on the spot. Creating an original cataloging record on MWS costs just $0.27.
To switch to MarciveWeb SELECT, contact Customer Service at custserv@marcive.com or 1-800-531-7678.--JM

For most libraries, cataloging audiovisuals is difficult and time-consuming. Now it can be very easy.
With the release of MarciveWeb SELECT, searching and finding audiovisual cataloging is a breeze for any library with browser access to the Internet. If you are ready to reduce your workload today, it's as easy as 1-2-3!
1. Call Customer Service.
We will make sure that your profile includes A/V Access{Special Char 226 in Font "Symbol"}. the Professional Media Services Corporation database of over 150,000 cataloging records for videos, cassettes, and other AV. There is no charge for adding this database to your profile, but all profile changes must be confirmed in writing. There is a $0.50 surcharge for each A/V Access{Special Char 226 in Font "Symbol"} hit.
At the same time, we will establish your account on MarciveWeb SELECT. There is no charge for this.
2. Search MarciveWeb SELECT.
You can search by title such as "Preventing communicable diseases". Or if the title is very common, such as "San Francisco", you can add information such as Distributor/Publisher, Author, and/or Year, to narrow the list of results.
3. Modify the record & order.
Once you select the correct record, add the call number and location information before ordering.
You can even modify the record, if you have a different distributor or playing time, for example. There is no additional charge and it does not delay your order. All orders are processed overnight. --JM

You can glance at a catalog card and immediately see the author, title, and call number. You don't think in terms of "author field, title field, call number field". Once the information from those catalog cards is loaded into an automated system, you have to adjust your perception and think in terms of the bibliographic or MARC (machine readable) record. The call number, author, and title are there, but not just anywhere. They have to be in specified MARC fields, so the system will know how to display them.
Different systems display the MARC record in various formats, but none of them are exactly like a catalog card. You will need to talk to your automation vendor to make sure the parameters of the software are set so that all the MARC fields that you want to see are displayed on the screen.
Occasionally we get a phone call from a librarian because "the records do not have a call number," or "there are no barcode numbers in my records". The records we output have call numbers, barcode numbers, and other local information in the MARC fields specified on the conversion profile. However, it sometimes turns out the library automation system has parameters that need to be set (either by you or the vendor) to match the specifications that were provided to us.
In addition, your MARC records may be changed by your automation system. Some systems take only the parts of the MARC records that it has been programmed to use, and "throws away" the rest. So when you are selecting a system, you need to ask about loading the records, setting up parameters, and the ability to output full MARC records.

Designed specifically for libraries using OCLC or other sources of MARC cataloging . Requires FTP capability.
Do more...
and do it with less.
That seems to be the motto of the mid-90's in cataloging departments everywhere. But at the same time, the importance of an accurate online catalog is unprecedented. The primary remote access to the library's collection, the library catalog, is being seen on campus...and, now, on the Internet...warts and all.
When is there time to check every subject heading? Who can provide all of the cross references for names and series?
There is only one way to keep up with changes to name and subject headings and provide cross references, and it is MARCIVE's brand new service: Overnight Authorities...overnight...over the net.
Simply insert a single step between moving the records from OCLC to your online catalog on your local system: FTP the records to MARCIVE by 2 PM. Overnight, our ingenious authorities system upgrades obsolete headings and provides you with just the authority records you need.
How long would it take a cataloger to examine all of the headings in your daily cataloging, download the appropriate authorities records from OCLC, and compare them with the records already in your online catalog? And is this the best use of his or her time?
Overnight Authorities:
| Easily fits into your staff's existing routine...and saves them tedious checking and re-checking. | |
| Provides deduplicated authorities records via FTP the next morning. | |
| Costs just $0.11 per OCLC record examined. Same price for other data sources, such as local cataloging. | |
| Works even if the library did not do its initial authorities processing through MARCIVE. |
We think that once you see how easy and inexpensive authorities work can be with Overnight Authorities, you will be able to realize the goal of doing more with less. Please call Joan Chapa or Rose Marie McElfresh today so we can discuss how MARCIVE can save your library's technical services department time and money.--JM
Demand! Authorities is the version of this service designed for MARCIVE data customers. In fact the service is even easier since the records are only sent one direction.
If you use our Ongoing MARC Record Service and would like to receive authorities records along with your bibs, please call Customer Service today.

Over half of our GPO and shipping list record customers are now taking advantage of the convenience of FTPing their records from us each week and month. With files available any time of day or night from the moment the records are output and no media to handle or dispose of, FTP is an easy and convenient option for getting your records from us. If you would like to try it, just ask Jim Noël or Dianne Rendón for a test.--JN

With the rise of URL information in GPO's catalog records over the past year, we have often been asked how the URLs can be kept up to date easily. One option for keeping up with these and any other changes GPO makes to their records is to get the changed records from us. In the past these changes were excluded for most customers because we could not provide them in a separate file or for just a certain subset of the records. Libraries wishing to receive the changed records now have some options. The simplest option is to have us include the changed records which match your item profile in the same file as the new records you are already receiving. If your local system is set to overlay existing records with incoming records based on the OCLC control number and if you don't mind doing so, this will automatically provide you with the changed records we receive at no additional charge.
If you want more control over which changed records you receive, it is now possible to get from MARCIVE a separate file of changed records in addition to your new records. If you wish, you may receive all of the changed records matching your item profile, just those containing URLs, just those for serials, or even some other limiting criterion. There is an additional annual cost for this option. For more information, contact Joan Chapa.--JN

Keeping up with new item numbers announced on shipping lists and in the Administrative Notes Technical Supplement may be a big chore, but customers of MARCIVE's profiled GPO and shipping list record, card, and label services will be glad to know that they don't have to take extra steps to keep us up-to-date on the new numbers. Since the summer of 1996 we have automatically added these item numbers to customer item profiles as soon as the information was available. So...instead of missing out on records, labels, or cards for these new titles until you have had a chance to send us an update, you will begin receiving the information in most cases as soon as the new items are distributed. Best of all, there is no charge for this service.
With the annual item number update cycle approaching, now would be a good time to request a copy of your MARCIVE item profile if you haven't checked it recently. We'll be happy to send it on paper, diskette, or even FTP. If you have questions about how to submit changes to your item profiles and the costs involved, just give us a call or send us a note.--JN

Since GPO began making shipping list information available on their Web site in DBF format, MARCIVE has been downloading and processing these files when possible to help expedite our handling of the shipping lists. While it is still necessary for us to key many of the shipping lists, being able to download even some of the lists makes it easier to keep up with them and reduces the possibility of transcription errors. The most noticeable difference you will find is that for some of the microfiche lists the titles will now appear entirely in upper case characters. This is the way the data is provided. We hope that in time this source of shipping list information will greatly improve the timeliness and accuracy of our shipping list services to you.--JN

Perhaps you have been loading files of GPO cataloging from MARCIVE or some other source, but have you thought about the older US government documents on your shelves that lack cataloging? Maybe you've cataloged a few of the most important ones, but don't have the time, energy or resources to do the rest. You've seen how the use of your collection dramatically increased with the loading of the current cataloging, haven't you? The collection has been really noticed for the first time, and circulation and reference desk inquiries for gov docs are way up. But what about the rest of the collection?
Now let's say the idea of profiling for so many documents is overwhelming and the cost of such a large project is prohibitive at this time. You don't have to receive records for the entire collection if the prospect seems daunting, but perhaps for the five years that GPO requires that you keep on your shelf. Or maybe you've thought about cataloging for high-interest documents such as congressional hearings? For as little as $2,000 you could have instant bibliographic access to those documents!
Yes, the transition to all-electronic that GPO is working towards will eventually change the way that patrons will retrieve government information. But GPO has not made available on the Web the older documents, ones that are rich with information but will never make it into electronic format. Don't your patrons deserve access to those as well? Some of the Web sites that GPO has cataloged have already moved or disappeared entirely, and it is not known who, if anyone, is archiving them. Wouldn't you like to have a permanent index to your collection? You know that your older documents are not going to disappear, so why not make the best use of them by letting people know they are there??
If you would like more information on how you can provide the best access to your PERMANENT ARCHIVE, please contact Joan Chapa at MARCIVE.

Two Canadian libraries that are not depository libraries, recently contracted with us for GPO records. The Univ. of Saskatchewan receives GPO documents on microfiche. They had once received all Ongoing records from us, but took a hiatus until they refined their selection. Welcome back! The Univ. of Alberta also receives documents in microfiche format and wanted records for core GPO periodical titles. They will get a customized version of the Periodicals Supplement File.
If you are not a depository but get selected US federal documents, please contact us with your idea for a special project!--JIC

Libraries that completed a retro conversion project and/or began a subscription to Ongoing GPO Database Service some time in the past are now adding on the Shipping List Service Electronic Records. They find that having MARCIVE build item holdings fields (some with optional smart barcodes) is an extremely efficient way to check-in documents and maintain an online shelflist. Colorado State Univ., Emory Univ., Northern Michigan Univ., Univ. of Texas/Arlington, Univ. of Virginia, and Wake Forest Univ. have all recently started up this service--what about YOU???!!! If you would like to order a "matching test" of SLS records which can include smart barcodes and their full GPO cataloging counterparts, please contact Joan Chapa. There is no charge for this test!--JIC 8 MARCIVE Newsletter

GPO CAT/PAC Plus customers asked us for a Web version...and we are going to deliver!
For years, MARCIVE has offered the premier Monthly Catalog database on CD-ROM. Soon, the same highly accurate database available through GPO CAT/PAC Plus, the CD-ROM version, will be available over the Internet.
You will love its ease-of-use and timely information. Patrons will find the newest titles through the inclusion of the Daily Depository Shipping List records, which provide early access to documents not yet cataloged.
The Plus feature identifies which depository libraries hold specific titles. Even libraries which are not depositories will appreciate the access to accurate, current information about the location of US government documents.
Introductory pricing of MarciveWeb DOCS has been set at $1425. If you are a current user of the MARCIVE GPO Database Service, you will enjoy a substantial discount on this product.
Full release of MarciveWeb DOCS is slated for announcement at the ALA conference in San Francisco. --JM
